Student Attendance Policy

Purpose

Regular and punctual student attendance in school is essential to academic progress. Classroom learning experiences are the basis for a college education. Time lost from class is a lost learning opportunity. Students who frequently miss classes significantly increase their odds of poor grades in courses.

OSAP requires that the Canadian All Care College (CACC or the College) keeps accurate student attendance records daily. The Ministry takes seriously the issue of absenteeism. The College maintains a detailed attendance report for each student to meet the OSAP/Ministry requirements.

Because of the direct correlation between academic performance and attendance and to meet the OSAP requirements, the College established the following attendance policy.

Scope

This policy will apply to all students of CACC while attending on-campus/on-line classes, or placements with an off-campus training partner.

Policy

CACC students are responsible for their education. To receive the intended benefits of their courses students should attend all classes, labs, and placements. The College is committed to student success and students are expected to adhere to the following attendance policy:

  • The College holds a 100% program attendance requirement overall. For quizzes, assignments, exams, lab hours and other grading components the student is required to fulfill all module components in order to progress within the program. If the student fails to provide any notice to the college and instructor of any absence and its continuous, not only does the student fails to meet the requirements of the attendance policy, the academic progress policy is also being neglected. Proper disciplinary action will be taken.
  • Students are also expected to adhere to the attendance policy for clinical placements that are part of the course curriculum and as described in the course outline.
  • If not preplanned, the student is responsible for informing the college within 24 hours of absence. For medical or other emergencies needing more then three days of absence requires a doctor note or short term absence note. For planned leaves the student is responsible for following the OSAP Active Participation Policy and CACC’s attendance to successfully meet the program completion requirement. Students who are absent from any classes, tests/quizzes/ assignments, and labs are responsible for completing their learning materials on their own time.
  • A doctor’s note is required if a student has three (3) or more consecutive days of absence from regular classes.

Please notify the college via WeChat or phone regarding your absence and if you are coming late or leaving early with an acceptable reason before 9:30 AM each day.

  • Continuous and habitual absences will not be tolerated by the College and the necessary remedial action will be administered.
  • Students who do not meet 100% attendance will risk losing their Ontario Student Grant.
  • Students with too many absences may get poor grades in the final assessments, and the grades will reflect in their academic progress reports.
  • Students who are absent from any classes or labs are responsible for learning any missed material within the published deadlines.
  • At the beginning of each course, the professor or instructor must advise students about the attendance requirements as stated in the course outlines.
  • The impact of non-attendance on grades will be explained on the first day of class as stated in the course outline.
  • A student may make up missed work only at the discretion of the course professor or instructor. Missed assignments, tests, or other evaluative tools could result in the forfeiture of grades as described in the course outline.
  • With the approval of the instructor, the Main Office will work with students to proctor missed exams for the types of absences described below.

It is the student’s responsibility to discuss planned absences with their course instructors at the start of the semester and before each absence.

It is the student’s responsibility to discuss any unplanned absence with their course instructors as soon as possible once they become aware that they will be missing classes due to one of the following circ*mstances:

Illness The Main Office and the professor requires notification if a student is absent from their classes due to illness. The student, in consultation with the professor, is responsible for catching up with the missed work.

Severe medical or psychological issues: The Main Office will notify a student’s instructors to confirm the situation.

Personal Emergencies (such as a death in the family): The Main Office will notify a student’s instructors to confirm the situation.

Late Arrivals and Early Departures

The College recognizes that there can be occasional difficulties due to personal circ*mstances, transport delays, and weather. All instances of a late arrival will be counted as missed attendance and be accumulated and monitored as part of the attendance monitoring process but will be exempted if there is a good cause of “Exceptional Personal Circ*mstances.” However, students should note the following:

  • It is important to attend each class and labs sessions from start to finish. This ensures the student does not miss vital learning or information.
  • Late arrivals and early departures must be reported to the Main Office and the teacher who will make a record in the Attendance Register, and in all cases lost time will be accumulated as missed attendance.
  • If a student misses a test or other piece of assessment due to late arrival, they should arrange a re-write of the test or assessment with the Main Office.

Class Absences Reporting Procedure

Responsibility of the student

  • Notify the Main Office and the instructor immediately about class absences, late arrivals, and early departures.
  • Discuss with the instructor/supervisor any missed class time, tests, assignments, labs, and placement.
  • Arrangements must be made directly with the instructor to make up the exam due to scheduled & planned absences.

Responsibility of the instructor

Communicate clearly to the student the consequences of class absences, and missed tests, assignments, labs, and placement.

  • Processes for making up the missed work.
  • Inform the student about the possibility of failing a course because of the excessive amount of missed work or class time.
  • Advice the student if a course deferral or a withdrawal from the course may be pursued because of an excessive amount of missed classes.
  • If an instructor allows a student to miss an exam for a reason not identified, as above, under unplanned absences & emergencies, they will not be able to re-write the exam.
  • It is the instructor’s responsibility to ensure that the student receives their approved accommodation(s) when making arrangements for them to re-write the exam.

A student who fails to comply with attendance requirements; or is absent without authorized leave may be subject to disciplinary action. However, where absenteeism results from illness or other conditions beyond the student’s control, disciplinary action may not be an appropriate response; nonetheless, withdrawal from the program can occur where the College can establish that the student’s attendance record is poor and falls below to meet the academic outcomes and that there is no reasonable likelihood of regular attendance in the foreseeable future.

In case of any disputes, updated printed copies of CACC policies will take precedence over the policies published on our website.
